Document management and workflow solution selected from BMI Imaging to streamline child support case management process between County and State of California

Sunnyvale, California – September 24, 2012 – BMI Imaging Systems, a leading provider of document management and document conversion solutions, announced that Solano County (California) Child Support Services Department has selected EMC Documentum ApplicationXtender as part of a document management solution from BMI Imaging.

“BMI’s document management solution has saved our staff time and helped make our County much more efficient with the way we handle our case records”, states Shakeel Ajam, IT Project Manager. “BMI helped us defined the appropriate workflow and the ApplicationXtender document management solution has essentially eliminated paper handling from our case management review.”

Solano County receives approximately 8,000 pages of case related mail per week. Prior to the EMC Documentum ApplicationXtender solution, workers in the County’s mailroom would manually attach case management codes on the paper documents and distribute them throughout the department. Reviewers would work from the hard copies, making decisions as to which paper case records would be shredded and which records would be shipped to Sacramento, California to get scanned and imported into California’s child support enforcement (CSE) system.

BMI’s document management solution includes two scanners to enable the Solano County mailroom staff to immediately scan all paper records as they arrive. The staff preps the hard copies, attaches a cover sheet for each new case file and then batch scans the records into the EMC Documentum ApplicationXtender solution. From there, the process is paperless. A standardized workflow process assigns case workers new matters and sends the digital files for review. Case management reviewers decide which documents should be uploaded to the statewide CSE system. Rather than mailing the physical documents from the County to Sacramento, case workers simply upload the appropriate documents into the CSE system, eliminating shipping costs and greatly reducing management costs.
